Job Description :

Our client is a growing Real Estate and Property Management Company In Portland, USA . They are a prominent and dynamic real estate agency dedicated to delivering exceptional service and expertise to clients in the Portland area. Our team is committed to providing unparalleled support and guidance to individuals navigating the real estate market.


We are seeking a detail-oriented and organized individual to join our back-office support team as a Sales & Property management Coordinator/Assistant. This role will be pivotal in ensuring smooth and efficient real estate transactions by managing administrative tasks, coordinating communication between agents, clients, and various stakeholders, and maintaining accurate documentation throughout the process and ensuring smooth operations and delivering superior customer service to buyers , sellers,  property owners and tenants.

Responsibilities:


Transaction Management: Oversee and manage the administrative aspects of real estate transactions from contract to close. Ensure all necessary paperwork, contracts, and disclosures are accurately completed and compliant with legal requirements. Assist seller agents and help with preparing documents, following up with customers on signature etc  and organizing documents. 

Property management Coordination:

  • Serve as the point of contact for property owners and tenants, addressing inquiries, resolving concerns, and providing timely assistance. 

  • Monitor and manage Homeowners Association (HOA) violations by communicating with property owners and tenants, facilitating resolution, and ensuring compliance with HOA regulations.

  • Assist with financial tasks such as rent collection, invoicing, expense tracking, and generating reports for property owners as needed. 

Database Management: Maintain accurate records of leases, contracts, correspondence, and other property-related documentation,  client information and relevant documentation in CRM systems or databases.

Communication: Collaborate with property managers, leasing agents, and other internal teams to ensure seamless operations and exceptional client service delivery.

Timeline Management: Maintain transaction timelines, deadlines, and schedules to ensure seamless progression of deals.

Client Support: Provide exceptional customer service to clients, addressing inquiries, providing updates, and offering assistance throughout the transaction process.

Problem Resolution: Proactively identify and resolve potential issues or bottlenecks that may arise during the process.

Collaboration: Work closely with property managers, leasing agents, and other internal teams to streamline processes and ensure seamless operations and exceptional client service delivery.

Education:

Bachelor's degree required

Accounting Assistant - Coimbatore, TN, India


Role Overview:

As an Accounting Assistant,, the candidate will play a vital role in supporting our finance and accounting operations. This position involves assisting with various financial tasks, maintaining accurate records, and ensuring compliance with accounting standards within the real estate industry.



Responsibilities:


Accounts Payable/Receivable: Process invoices, and assist with accounts payable and receivable functions.

Expense Tracking: Record and track expenses, ensuring accuracy and proper allocation of costs, maintenance, and other business operations.

Financial Data Entry: Input financial data into accounting software and spreadsheets, maintaining organized and up-to-date records.

Bank Reconciliations: Assist in bank reconciliations to ensure accurate representation of financial transactions.

Assist with Financial Reporting: Support in the preparation of financial reports, including balance sheets, income statements, and cash flow statements.

Assist with Audits: Provide documentation and assistance during audits conducted by external auditors or regulatory bodies.

Assist in Budgeting: Aid in budget preparation and monitoring, analyzing variances, and providing support in financial forecasting.

General Administrative Support: Assist the finance team with administrative tasks, filing, and documentation as required.

Software Skills: Proficiency in accounting software (e.g., QuickBooks)and Microsoft Excel; familiarity with real estate-specific accounting tools is a plus.


Requirements:

  • Bachelor's degree in Accounting, Finance, or related field preferred; relevant work experience may be considered in lieu of a degree.

  • Strong organizational skills with meticulous attention to detail.

  • Excellent communication and interpersonal abilities.

  • Proficiency in relevant software and tools, including CRM systems, Microsoft Office Suite, and transaction management platforms.

  • Ability to multitask, prioritize workload, and thrive in a fast-paced environment.

  • Be a self starter and have a go-getter attitude.

  • Be a good listener and be very responsible.

  • Be open to positive feedback.

  • Must be versatile in MS office, handling Gmail/ Drive
